Privacy Policy
Fnc1 Client Portal. Last updated September 3, 2026.
The Fnc1 Client Portal (the "Portal") is operated by Fnc1 ("we", "us") for our own customers. It lets customers view their catalog, request and approve quotes, review orders and invoices, and submit artwork. This policy explains what information the Portal collects, how we use it, and the choices you have.
Information we collect
The Portal stores the following information about the people who use it:
- Account details you or your company's account manager provide: name, company name, email address, phone number, and billing and shipping addresses.
- Order information you enter: cart contents, saved carts, shipping addresses, accounts payable email addresses, purchase order numbers, order notes, and messages sent through the contact form.
- Artwork files you upload for production, along with the quantities and notes you attach to them.
- Sign-in and activity records: one-time sign-in codes (deleted when they expire), the date and time of sign-ins and actions taken in the Portal, and the IP address the request came from. Activity records are kept for 90 days and then deleted.
QuickBooks Online
We use Intuit QuickBooks Online as our accounting system. When you view quotes, orders, or invoices in the Portal, the Portal reads that information from our QuickBooks company at the time you view it. When you request or approve a quote, the Portal creates or updates the corresponding estimate in QuickBooks, including the purchase order number and the name of the person who approved it.
The Portal does not keep a copy of QuickBooks transactions. It stores only the identifier that links your Portal account to your customer record in our QuickBooks company, and the identifiers of the products in your catalog. The Portal never accesses any QuickBooks company other than our own, and it does not handle card or bank payment details. Payments are made through QuickBooks' own invoice payment links, which are governed by Intuit's privacy statement.
How we use information
- To operate the Portal: show you your catalog, quotes, orders, invoices, and artwork history.
- To fulfil your orders: prepare quotes, produce and ship orders, and invoice them.
- To communicate with you: sign-in codes, quote and order notifications, artwork proofs, and replies to your messages.
- To keep the Portal secure: detect misuse, investigate problems, and audit who did what on an account.
We do not sell your information, and we do not use it for advertising.
Who we share it with
We share information only with the service providers that run the Portal for us:
- Intuit (QuickBooks Online), for quotes, orders, and invoicing.
- Microsoft 365, which sends the Portal's email.
- The hosting provider that runs the Portal's server and database.
We may also disclose information when the law requires it, or to protect our rights or the safety of our customers.
Cookies
The Portal uses only the cookies it needs to work: one that keeps you signed in, and one that protects forms against forgery. It does not use advertising or analytics cookies.
Security
The Portal is served over HTTPS only. Sign-in uses one-time codes sent to your email rather than passwords. Uploaded files and encryption keys are stored outside the web-accessible folders of the server, and access to the Portal's administration area is limited to Fnc1 staff.
Your choices
You can review and update your contact details on the Account page. To correct other information, remove a contact from your company's account, or close your account, email us at sales@fnc1.com. We keep order, quote, and invoice records for as long as our business and tax obligations require.
Changes to this policy
If we change this policy we will update the date at the top of this page. Material changes will be announced to account holders by email.
